This section describes the different types of job reporting that are available in the Job Administration subsystem.

Standard Job Report

The standard job report can be produced for any job. It consists of an ASCII list, sorted into FS number sequence (the same order as the original list). The list is contained in the JOBnnnnn.SRT file, which is sorted from JOBnnnnn.TXT at the end of the job. The TXT file is appended to as each job item is sent or finally failed.

The format, sequence and content of this report is fixed. The columns contain FS Number, Recipient Name, Fax Phone, Status, Pages, Date, Time and Baud Rate. You may change or translate the column headings in the file REPORT.HDG, but such changes have no effect on the content of the data columns.

The 'Standard Report Options' job property allows you to specify whether the report contains sent items, failed items, or both, and whether job totals are shown at the foot of the report. You can also specify whether the first page of the broadcast document is to accompany the report.

When job items are manually resubmitted after failure, there will be more than one line in the standard job report for each item resubmitted. There is a right-click action for the job instance in JOBADMIN which can be used to clear the list prior to resubmitting a job. This will create a second list which shows only the manually resubmitted items.

The standard job report is faxed and/or e-mailed to the phone/address specified in $notify_fax or $notify_email. The transmission is identified in the job status display with an 'R' code (for report) in the margin. This allows immediate confirmation by the administrator that the report has been successfully sent on job completion.

User-Written Job Report

User-written job reports make use of the data extracted from each job by JOBXLDATA, JOBDDATA or JOBXDATA.

Benefits of User-Written Job Reports include:

Use of sorting, grouping, selection and any other features available in your report writer.

One-to-one correspondence between job items and report rows.

Complete control over layout.

Compliance with installation report-writer standards.

User-written job reports are launched by specifying the reporting program on a $end_job_tasks command, following an extraction of the data using JOBXLDATA, JOBDDATA or JOBXDATA.

Examples will be available for popular report-writing packages such as Crystal Reports and R&R Report Writer. To fax or e-mail the report you have produced, a utility program will be provided to create an FS file from data in the Job Instance properties file, which will integrate it with the job status list (code 'R' in the list).

Consolidated Job Reports

The JOBCONS program (originally named JOBSUM) consolidates output from JOBXLDATA, JOBDDATA or JOBXDATA, for multiple job instances, into a single .DBF or .TAB file respectively. The use of this program requires that the field lists for the extraction program used are the same across all owners and jobs to be consolidated.

JOBCONS can be run weekly or monthly as required. The resulting file contains one record for each fax or e-mail item transmitted. The file may be suitable for passing to your accounting system for billing purposes. You may also report on it from any report writer utility that supports these file formats.

Job Summaries

The JOBDDATA program, in addition to extracting per-item data to a DBF for the job instance, can also add or update a summary record for a single job, in a DBF/NDX file set named JOBSUM.DBF and JOBSUM.NDX. The file is indexed on OWNER / JOBTYPE / JOBINSTANCE. The file is updated if the program is re-run for the same job.

The summary fields are user-selectable from a default list in JSFIELDS.LST.
