CopiaFacts User Options
When you right click on the users list you will see a pop-up menu of options available for the selected user(s) or all users. These options include:
View User Fax Status
View Global Fax Status
Create User Fax Status File(s)
Generate Fax Viewer Recipient List
Propagate Owner Settings
Edit User Owner Settings
Edit Global Owner Settings
The Remove User option allows you to remove the selected user(s) from the list of CopiaFacts users along with all of their related folders and resources. This option requires confirmation before any action is taken.
The View User Fax Status option allows you to view the status for fax and email sent by the selected user using the CopiaFacts workstation client. If multiple users are selected, only the status for the first user selected will be displayed. Within the status viewer, you may select different users for viewing. If the selected user does not have a status file (JCF) then an error message will be displayed and no status will be shown.
The View Global Fax Status option allows you to view the status of all fax and email submitted to the CopiaFacts engine for transmission. This includes those transactions not submitted through the CopiaFacts workstation client.
The Create User Fax Status File(s) option allows you to generate fax status (JCF) files for the selected user(s). You might wish to do so when you get an error while trying to view the fax and email status for a particular user. This option also allows you to include transactions (FS files) generated by other programs on behalf of the selected user, such as FFBC or FFMerge. All FS files are scanned using a list of sender names you wish associated to this user. A new fax status file (JCF) is generated from this information.
When you choose the Create User Fax Status File(s) option, the following dialog is displayed:
The name of the fax status (JCF) file that will be generated or appended to is shown at the top. The current SendAs information for the user is included in the list of senders to be included in the status file. You may add to or remove names from this list using the standard editing keys just as you would do with Notepad. When you are ready to create the status file then just click on the Create Status File button. Click on the Exit button if you do not wish to generate the fax status file.
Use the Generate Fax Viewer Recipient List menu option to create recipient lists from CopiaFacts user information to be included in the fax viewer recipient lists. These lists are used to forward or move messages with the CopiaFacts fax viewer program FFViewer. When you select this option, the following dialog will be displayed:
The first set of options defines who the recipient list should be created for. If you have selected a single CopiaFacts user, then by default this user will be selected. You may choose to create lists for all users, selected users if you have selected more than one user, or all CopiaFacts users.
The next set of options defines what type of recipient list should be created. You may select either the global list or a user recipient list. The global list is called Global.lst. If you choose a user recipient list, then you must enter its name in the area provided below the User recipient list option. It is not necessary to include the .lst file extension. All recipient lists have a .lst file extension and are placed in the Resources folder in the CopiaFacts user/owner folder set.
You should also select which recipient entries you wish to create. You may create fax, email, and directory entries for each CopiaFacts user in the recipient list. The fax and email information come from the fax and email entries made in the user settings of the CopiaFacts workstation client. The directory entry is the disk location of the user's inbox.
You should also choose the entry's identifier. This may be the CopiaFacts user/owner name or the name entered in the user settings of the CopiaFacts workstation client. Entries will be sorted by this name. If you select user name and there is no user name entered for the CopiaFacts user, then the CopiaFacts user/owner name will be used. Fax and email entries will be dropped if no fax or email information is available for the CopiaFacts user. Since all users have an inbox, the directory entry will always be created if you select it, even if the user does not have an actual mailbox. This still allows you to forward messages to the user by placing them directly in his or her mailbox without using fax or email to do so.
When you are ready to generate the recipient lists, you should click on the OK button to do so. Otherwise click on Cancel to skip generating the list. If you checked the Overwrite existing list option, which is checked by default, the new list will overwrite any existing list. Otherwise, no list will be generated if a list already exists by that name.
Use the Propagate Owner Settings to duplicate the settings from a specific owner.ujp file to one or more users. When you click on this option the following dialog window will be displayed:
You may select the default owner.ujp file located in the Default Client folder in the Userjobs folder or choose a specific Copiafacts to use as the source for the changes. You may choose to propagate the source settings to all CopiaFacts users or just those users you have selected from the user’s list. The $owner_name and $owner commands will not be copied to the target user settings.
Use the Edit User Settings to launch CopiaEdit to edit the selected user settings in owner.ujp. The selected file will be displayed in the caption. Use the Edit Global Owner Settings option to edit the owner.ujp file in the Default Client folder. This file is used as the template for creating new users in the workstation client installer.
